CHURCH SECRETARY NEEDED
Job Summary:
The Church Secretary serves to provide an effective, efficiently run church office providing clerical, receptionist, and staff support. Priority of responsibilities will first be to the pastor and second to paid staff.
Job Qualifications:
- Office management skills
- Good communication skills
- Good organizational skills
- Able to keep confidences in regard to all congregational matters
- Working knowledge of, or willingness to learn Power Church Plus, MS Office, and the operation of all office equipment.
- Can deal effectively with people/situations with diplomacy and grace.
Job Responsibilities:
1. Responsible to provide secretarial assistance
a. Assists with schedules and keeping pastor reminded of tasks and appointments he is responsible for
b. Prepares weekly and special bulletins for worship services
c. Creates and prepares miscellaneous printed materials (e.g. bulletin inserts, posters, stationery, etc.)
d. Creates the monthly newsletter (The Beacon)
e. Manages the ‘tickle file’ to prepare for upcoming annual activities and events
2. Responsible to act in the capacity of receptionist
a. Receives phone calls and walk-in visitors in a friendly and compassionate manner
b. Refers phone calls and walk-ins to appropriate agency or individual
c. Maintains confidentiality in dealing with all personal matters
3. Responsible to perform multiple office management duties
a. Maintains the ‘master’ calendar for scheduled church events
b. Grants permission for use of building to groups/individuals according to established policy
c. Prepares and distributes all needed certificates (e.g. baptism, new member)
d. Performs all typing, copying, filing, correspondence, synodical reports and forms as needed
e. Copies and distributes council meeting agendas and minutes as needed
f. Coordinates and prints the annual reports of the church
g. Maintains petty cash/postage (being mindful of cost effective bulk mailing rates)
h. Maintain organization of front office
4. Responsible for recording and maintaining accurate Church Records using Power Church Plus
a. Membership roster
b. Mailing lists
c. Funerals
d. Weddings
e. Baptisms
f. Confirmations
g. Transfers
h. Dismissals
i. Communions
j. Worship attendance
5. Responsible for managing office equipment
a. Files warranties
b. Coordinates maintenance of office equipment
c. Orders supplies
6. Responsible to coordinate the activities of office volunteers
7. Willing to participate in continuing education as deemed appropriate and necessary for the position of Church Secretary
